Information we collect

When you make an enquiry, we collect the information you submit, such as your company, business email, country or market, destination, service interests and project brief. You may also choose to provide your name and phone number.

Our website and hosting services may record technical information needed to deliver and protect the site, such as an IP address, browser information, pages requested and the time of a request. The Cookies Notice describes the storage technologies used by the deployed website.

Please provide only information relevant to your enquiry. Do not submit payment credentials, bank records or identity documents through the website.

Why we use it

We use enquiry information to understand and respond to requests, communicate about potential work, assess whether we can assist, and keep relevant business correspondence. We use technical information to operate the website, diagnose faults and protect it from misuse. We may also use or retain information where necessary to meet applicable legal obligations or address a dispute.

Required form fields are marked. Without that information, we may be unable to assess or respond to your request. Providing optional fields is your choice. Sending an enquiry does not subscribe you to a marketing mailing list.

Who may receive it

Information may be accessed by authorised people working for KAELIN and providers supporting website hosting, email, enquiry handling and security, as needed for those functions. If progressing your request requires information to be shared with a supplier or another commercial counterparty, we discuss the relevant sharing with you.

Information may also be disclosed where required by law or necessary in connection with legal proceedings. We do not sell personal information.

AI assistant

If you use the AI assistant on this website, the messages you type are sent to our AI service provider, Anthropic, PBC (United States), to generate replies. Replies are produced automatically, may contain errors and are not a quotation, offer, advice or commitment by KAELIN.

KAELIN does not keep a record of assistant conversations on its servers. Your browser keeps the conversation for the current tab only, so that it stays available while you move between pages; it is deleted when you close the tab, or earlier if you choose New conversation. Under the provider’s commercial terms, these messages are not used to train its models.

An enquiry that the assistant helps you prepare is sent to KAELIN only after you have reviewed it and chosen Send enquiry. It is then handled like any other enquiry described in this notice.

Please do not share bank account details, payment credentials or identity documents with the assistant. Numbers that look like payment-card or bank account numbers are removed before a message is sent.

Where information is handled

KAELIN is based in Hong Kong. Website and communications providers, and parties relevant to an engagement, may operate in other jurisdictions. The provider locations applicable to this website are Hostinger (website and email hosting), with website servers in Malaysia and backups in Singapore; Anthropic, PBC (United States) for the AI assistant. Cross-border handling is considered when choosing providers and arranging an engagement.

Retention

Enquiries that do not lead to an engagement are normally retained for 12 months after the last substantive contact. Routine website security and access logs are normally retained for a limited period set by our hosting provider, Hostinger (they are available to us for up to 7 days). Information may be retained longer where needed for an ongoing matter, applicable legal obligations or a dispute. Records for an agreed engagement are handled under its applicable arrangements.

Security

We use appropriate organisational and technical measures to protect personal information and limit access to those who need it. No internet transmission or storage method can be guaranteed completely secure.

Access, correction and questions

You may request access to or correction of personal information we hold about you by contacting admin@kaelinconsult.com. We may need information to confirm your identity and locate the relevant records. Any fee permitted by applicable law will be explained before it is charged.

You may also contact us about deletion, retention or other privacy concerns. We will consider requests in light of applicable requirements and any information we need to retain.

Changes to this notice

We may update this notice to reflect changes to the website or information-handling practices. The date above identifies the latest version.
